Privacy policy

This page explains what information we collect when you visit vahelps.com, book a call, or get in touch, and what we do with it. It is written to be read, not skimmed past. If anything is unclear, email info@vahelps.com and a person will answer.

Who we are

VA Helps LLC ("VA Helps", "we", "us") is a U.S. company registered in Florida. We provide virtual assistant and administrative support to mental health and nutrition practices. This policy covers the website at vahelps.com and the ways you contact us through it.

It does not cover the work we do for client practices. That work is governed by the service agreement and Business Associate Agreement (BAA) we sign with each practice, and by HIPAA. See a note on patient information below.

Information you give us

  • Booking a call. The booking widget on our site is provided by Calendly. When you schedule, Calendly collects your name, email address, the time you choose, and anything you type in the notes, and passes it to us. Calendly's own handling of that data is described in its privacy policy.
  • Email and phone. If you email or call us, we keep the message and your contact details so we can reply and keep track of the conversation.
  • Monthly notes. The subscribe form in the footer opens a message in your own email app addressed to us. If you send it, we add your address to our newsletter list. Every issue includes a way to unsubscribe, and you can also just reply and ask.

Information collected automatically

  • Server logs. The site is hosted on Cloudflare. Like most hosts, Cloudflare records basic technical details about each request: IP address, browser type, the page requested, and the time. We use these to keep the site running and secure. See Cloudflare's privacy policy.
  • Fonts. The site loads its typefaces from Google Fonts. Your browser requests the font files directly from Google, so Google receives your IP address as part of that request. No cookies are set by this.
  • Analytics. We may use Google Analytics to understand which pages people visit and how they arrived. It uses cookies and collects usage data in a form that does not identify you by name. You can prevent this with Google's opt-out browser add-on or by blocking cookies in your browser. Google's handling of this data is described in its privacy policy.

Cookies

We do not set cookies ourselves. The Calendly booking widget sets its own cookies inside the widget so scheduling works, and Google Analytics sets cookies when we have it enabled. You can block or delete cookies in your browser settings. The site will still work, though the booking widget may not.

How we use information

  • To reply to you, and to schedule and hold the call you booked
  • To send you the monthly notes you signed up for
  • To run, protect, and improve the website
  • To keep ordinary business records and meet legal obligations

We do not sell personal information, and we do not share it with anyone for advertising.

Who we share it with

  • Service providers that help run the site and our business: Cloudflare (hosting), Calendly (scheduling), Google (fonts and analytics), and the email and productivity tools we use to communicate. They only get what they need to do their job.
  • When the law requires it, or to protect our rights and the safety of others.
  • If the business changes hands, information may transfer to the new owner under the same commitments made here.

How long we keep it

Messages and booking details: as long as we need them to respond and to keep ordinary business records. Newsletter addresses: until you unsubscribe. Server logs: a short period, as set by Cloudflare's defaults.

Security

The site is served over HTTPS, and we limit who on our team can see inquiries. No method of transmission or storage is completely secure, so we cannot promise absolute security, but we take reasonable steps to protect what you share with us.

Your choices

Email info@vahelps.com to ask what information we hold about you, to correct it, or to have it deleted. We honor these requests wherever you live, subject to records we are required to keep. You can unsubscribe from the newsletter at any time using the link in any issue.

A note on patient information

We work with health practices, and we take HIPAA seriously. Protected health information (PHI) is handled only under the BAA we sign with each practice, inside the practice's own systems. Please do not send patient names, health details, or other PHI through this website, the booking widget, or unsecured email. If you are a client with a question about how we handle your patients' data, contact us and we will walk you through your BAA.

Children

This site is for practice owners and professionals. It is not directed at children, and we do not knowingly collect information from anyone under 18.

Other websites

We link to other sites and embed tools from other companies. Their privacy practices are their own. This policy covers vahelps.com only.

Changes to this policy

When we update this page, we change the effective date at the top. If a change is meaningful, we will say so here for a while so returning readers can see what is new.
